# A rep is out for two weeks: cover their Pipedrive deals with followers, without reassigning anything

If a rep is away for a couple of weeks, do not change the owner on their deals. Add the person covering as a follower instead. In Pipedrive a follower can see the deal and gets notifications when it changes, and the rep stays the owner, so the win or the loss is still credited to the person who worked it ( [Pipedrive: followers](https://support.pipedrive.com/en/article/followers); [Pipedrive: visibility groups](https://support.pipedrive.com/en/article/visibility-groups)). The rest of this article is the process around that button: who follows what, what the cover person does with the notifications, and the one case where reassignment is the right call anyway.

## Two weeks, three proposals, one rep on a beach

A made-up but ordinary case. Tomas is off for two weeks from the 14th. He has three deals sitting with a sent quote. One buyer promised a signature “by the end of next week”, which lands on day five of his holiday. One finance team has asked for a payment-terms change, and Tomas sent the revised quote the day before he left. The third buyer is also talking to a competitor and went quiet after the second call.

Nothing in that list needs a salesperson every day. All of it needs someone who notices when something happens and knows what Tomas would have done about it. That is a different job from owning the deals, and Pipedrive has a different mechanism for it.

Here is what usually happens instead. Either nobody touches the deals, the signature date passes, finance never hears back, and Tomas returns to three apologies. Or the manager reassigns everything to Priya “just for two weeks”, Priya closes the first deal, the win sits on her numbers, and three weeks later someone is editing owners back by hand and arguing about whose deal it was.

## Reassign or cover? The reporting cost of changing the owner

Changing the owner is not a neutral act in Pipedrive. For deals, the owner is the person credited with winning or losing ( [Pipedrive: visibility groups](https://support.pipedrive.com/en/article/visibility-groups)). Reassign Tomas’s three quotes to Priya and, if one of them closes while he is away, the record says Priya won it. Reassign them back on his return and you have edited history twice to end up where you started.

The buyer pays for it too. The owner is the name the buyer knows. A new name on the thread about payment terms tells a finance team that already has doubts that someone left, and the cover person has to spend the the first email explaining why they exist. [Shared threads linked to the deal](https://salesbond.app/blog/pipedrive-email-visibility-shared-private/) at least let them read what was said before.

Our test is one question: is this person coming back to these deals? If yes they remain the owner. Cover is for absence. Reassignment is for departure, and that is a different article: [when a rep leaves, how to reassign Pipedrive deals](https://salesbond.app/blog/rep-leaves-reassign-pipedrive-deals/).

## What Pipedrive followers can and cannot do

Every item in Pipedrive has exactly one owner, and followers exist for the moments when more than one person has to keep up with it. A follower can view the item and gets notifications about changes to it in the Notifications panel ( [Pipedrive: followers](https://support.pipedrive.com/en/article/followers)).

For cover, three things about followers matter.

**Visibility of the deal.** Followers can see a deal even when visibility settings would otherwise hide it from them ( [Pipedrive: why can’t I see a deal](https://support.pipedrive.com/en/article/why-can-t-i-see-my-colleagues-deals-in-the-pipeline-view)). If deals in your account are restricted to their owners, following opens three specific deals to the cover person without touching the visibility group of the whole team. One limit: [hidden activities](https://salesbond.app/blog/pipedrive-hidden-activities/) follow a stricter rule, because an activity stays hidden unless you can see every item linked to it.

Editing is a narrower story. The visibility groups page lists followers among the people who can view and edit an item only for the “Item owner” setting. For the “Item owner’s visibility group” settings, followers aren’t in that list, and what a user may do with an item is governed by their permission set ( [Pipedrive: visibility groups](https://support.pipedrive.com/en/article/visibility-groups)). So the handover includes a short test, the same one Pipedrive’s own troubleshooting page uses: the owner sends the cover person the link to each followed deal, the cover person opens it and adds a one-line note (“Cover starts tomorrow, Priya”). An error on opening means the deal is still restricted, and the owner fixes it while still at their desk ( [Pipedrive: why can’t I see a deal](https://support.pipedrive.com/en/article/why-can-t-i-see-my-colleagues-deals-in-the-pipeline-view)).

**Visibility of what hangs off the deal.** A deal is linked to a contact person and an organization, and those carry their own visibility. When you can open a deal but not its linked items, Pipedrive hides the contact person, the organization, and the deal’s Notes and Activity ( [Pipedrive: why can’t I see a deal](https://support.pipedrive.com/en/article/why-can-t-i-see-my-colleagues-deals-in-the-pipeline-view)). For Priya that means no buyer’s phone number and no handover note, which is most of the point. So she follows the contact and the organization too: in each one’s detail view, click the “+” under Followers ( [Pipedrive: followers](https://support.pipedrive.com/en/article/followers)).

**Scope.** You can follow a deal, or you can follow a user. Following a user gives visibility of every item that user owns (deals, organizations, people and products) regardless of visibility group or item-level settings ( [Pipedrive: followers](https://support.pipedrive.com/en/article/followers)). Two permissions sit around that. To open another user’s overview at all you need “Follow other users to see their items” in Global permissions, and only a global permissions admin can make one user a follower of another; a regular user can follow a colleague themselves but can’t assign it ( [Pipedrive: following other users’ items](https://support.pipedrive.com/en/article/how-can-i-follow-items-owned-by-other-pipedrive-users)). For a two-week absence with three live deals, follow the deals. Following the user fits a rep with a long tail of open deals, and if you’d rather add followers to many items at once, Pipedrive supports doing that through an import ( [Pipedrive: importing followers](https://support.pipedrive.com/en/article/importing-followers-and-participants)).

The clicks themselves: in the deal’s detail view, open the dropdown menu at the top and choose “Add follower”, then pick the user. The trash can next to a name on that list removes the follower ( [Pipedrive: followers](https://support.pipedrive.com/en/article/followers)). The owner does this before leaving, deal, contact and organization, and for three deals it is a few minutes.

Now the limits, because the cover process has to be built around them.

Notifications about followed items land in the Notifications panel, under the lightbulb icon at the top right ( [Pipedrive: notifications](https://support.pipedrive.com/en/article/notifications)). They are about changes to the item. Neither the followers page nor the notifications page says that a customer replying by email produces a follower notification, so the cover plan cannot rest on the lightbulb alone. It needs dated activities and a shared way to receive the buyer’s reply. In the same panel, the gear icon opens “Manage notifications”, where you can turn on real-time notification emails and a daily summary email, and those emails include updates from users you follow. Set that up for the cover person before the owner leaves, along with the in-app desktop notification under Personal preferences > Notifications ( [Pipedrive: followers](https://support.pipedrive.com/en/article/followers)), so a change in the deal reaches them even when Pipedrive is closed.

The followers page also says nothing about automatic following, so a new deal created for Tomas while he is away will not come with Priya attached. Cover for new inbound work is a routing question, covered in [lead routing for a small Pipedrive team](https://salesbond.app/blog/lead-routing-pipedrive-small-team/).

## A cover checklist: before the rep leaves, while away, when back

![Three-column cover plan, Before, Away, Back: what the owner sets up, the three events the cover person acts on, and the handback](https://salesbond.app/wp-content/uploads/2026/10/pipedrive-followers-rep-out-of-office-2.png)

**Before, done by the owner (about half an hour for three deals):**

- Add the cover person as a follower on every deal that could move in the window, and on its contact person and organization. Not every open deal, the ones with a date or a pending answer.
- Send the cover person the link to each of those deals and have them add a test note. Then leave [a pinned note and an @mention](https://salesbond.app/blog/pipedrive-notes-mentions-pinned-handoff/), which only reach the cover person if they can see the deal.
- Write one handover note per followed deal: what was sent, what the buyer promised and when, what you would do on a yes, a no or silence. Three or four lines.
- Put an activity inside the absence on each deal, on the date something is due, and assign it to the cover person. The deal stays Tomas’s. Pipedrive’s activity reminders are triggered by activities in your own calendar, and the Following notifications report changes, not dates ( [Pipedrive: notifications](https://support.pipedrive.com/en/article/notifications) ). An activity left on Tomas reminds a man on a beach. More on why the date does the work: [the next activity field in Pipedrive](https://salesbond.app/blog/pipedrive-next-activity/).
- Give the cover person a way to see the buyer’s reply: a [shared inbox](https://salesbond.app/blog/pipedrive-team-inbox-shared-mailbox/) rule, a forward, or the buyer told whom to copy. Pick one before the out-of-office goes up.
- Turn on notification emails for the cover person.

**While away, done by the cover person, on three events only:**

1. The buyer writes or calls. Answer, log it in the deal, and tell the buyer the date the owner is back.
2. A handover activity comes due and the buyer still hasn’t answered. Send the one nudge the owner wrote down, log it, mark the activity done.
3. A notification shows a change in the deal that nobody planned. Open it, find out who did what, add a line.

Nothing else. The cover person does not re-forecast, does not move stages because it “feels further along”, and does not run their own sales process on someone else’s buyer. That restraint is what lets the deal go back without a conversation about who owns the relationship.

**When back, done by both, in fifteen minutes:**

- Owner reads the cover notes on each followed deal before opening email.
- Cover person says out loud which deal they are worried about and why.
- Owner removes the follower, or keeps them if the deal has become a [two-person deal](https://salesbond.app/blog/single-threaded-deals/). That is a decision, not a leftover.

The first time a team runs this, the “before” list takes longer than half an hour, because nobody has written a handover note before. The second time it’s routine. The cover person knows they will only be asked to act on three events, and the owner knows what to write.

## What the cover person writes in the deal

One short note, written as the cover person, never as the owner. Something like:

> Cover note (Priya, for Tomas, out until the 28th). Buyer’s finance confirmed the revised terms by email today. I replied that Tomas will send the final version for signature on his return and that they will hear from him on the 28th. Nothing else pending on this deal.

Four sentences: who wrote it and for whom, what happened, what the buyer was told, what is left. Tomas can read it in ten seconds on his first morning back.

What it does not do is pretend. The cover person does not write in the owner’s voice, does not send a quote the owner has not seen, and does not promise a call on a day the owner has not agreed to. If the buyer needs a decision the owner would have made, the note says so, and the manager makes the call the same day, as the manager, with a line in the deal. Two weeks is long enough for a buyer to accept “when Tomas is back”. It is not long enough to justify a second person building thier own relationship inside the deal.

Where a team has more than a handful of deals in cover, reading them one by one on Monday gets slow. We build SalesBond, a sales management layer on top of the CRM a team already uses; we started with Pipedrive. Its Deal Health has a per-rep view, so Tomas’s deals sit on one screen with his average score and problem areas. Each flagged deal names the violation, explains it, and gives a recommended action, and once the cover person has handled one they can mark it resolved, snooze it or ignore it, so the list shows only what is still open. It doesn’t write the cover note and it can’t read a buyer’s silence. [Check your CRM with SalesBond](https://salesbond.app/) and look at an absent rep’s deals the way the cover person will.

## When it is a reassignment after all

Sometimes the absence stops being an absence. The two weeks become six. The buyer with the signature date asks for a contract call on day seven and will not wait. The owner, from the beach, says they would rather hand this one over than lose it.

Then reassign but reassign one deal, and for good. Change the owner to the cover person, leave the old notes where they are, and let the win or the loss sit with whoever closes it, which is how the owner field is meant to work. Do not change the owner “temporarily” with a plan to change it back; that is the two-edits-and-an-argument outcome from the start of this article. Say it in the deal: “Owner changed from Tomas to Priya on the 21st, buyer needs a decision this week, Tomas agreed by message.” Nobody coming back to that line has anything to dispute.

If the absence turns into a departure, it’s no longer three deals but a whole book, and the steps are in [what to do with a leaving rep’s Pipedrive deals](https://salesbond.app/blog/rep-leaves-reassign-pipedrive-deals/). For the next holiday on your team calendar, start with the “before” list: three deals, their contacts and organizations, one test note each, and the activities moved onto the person covering.
