# Pipedrive Meeting Scheduler: what a booked meeting does to your activity data

When a customer books a time through Pipedrive’s Meeting scheduler, Pipedrive adds an activity to your calendar and sends the customer a confirmation email ( [Pipedrive: Meeting scheduler](https://support.pipedrive.com/en/article/scheduler)). The activity type that booking is saved under is a setting on the link, chosen by you ( [Pipedrive: how can I propose my specific times in the Scheduler](https://support.pipedrive.com/en/article/how-can-i-propose-my-specific-times-in-the-scheduler)). Give self-booked meetings their own activity type. Leave it at whatever the default happens to be, and customer bookings land in the same bucket as the meetings your reps worked to get.

That is the whole fix. The rest of this article is about where it goes wrong: the link you share, the plan you are on, and the report you read on Friday.

## A booked meeting that nobody counted twice, until Friday

A made-up scene, with made-up people. Mei Sorensen runs a four-person sales team on Pipedrive, and in August she drops a Meeting scheduler link into every rep’s email signature. September looks great. Then on the first Friday of October, Callum Ngata, the rep whose meeting number went up most, mentions that his call count hasn’t moved. The extra meetings are people who clicked the link in his signature: existing customers with a product question, two suppliers, one recruiter.

None of those bookings is wrong, and most were worth taking. What is wrong is that Mei’s metric now mixes meetings that came in on their own with meetings a rep earned by prospecting. Because the scheduler saved every booking under the same type the reps use for their own meetings, the only way to pull the two apart afterwards is to open each activity.

## Two kinds of Meeting scheduler links: general availability and picked times

Pipedrive’s Meeting scheduler gives you two kinds of booking link ( [Pipedrive: Meeting scheduler](https://support.pipedrive.com/en/article/scheduler)).

A **general availability** link is the standing one. You set the meeting duration, the window during which people can book, your hours per weekday and buffers between meetings; you can attach a video call and a service, and you set how the booking is saved as an activity ( [Pipedrive: how can I propose my general availability in the Scheduler](https://support.pipedrive.com/en/article/how-can-i-propose-my-general-availability-in-the-scheduler)). This is the link that goes in a signature or on a website, and that is exactly why it’s the risky one for your data. Anyone can book it, for any reason.

A **specific time** link, the “Pick times” flow, is the one you build for a particular person. You pick the slots, send them, and they choose one. The activity type and any notes are set when you create it, and the gear icon next to “Pick times” lets you edit them ( [Pipedrive: how can I propose my specific times in the Scheduler](https://support.pipedrive.com/en/article/how-can-i-propose-my-specific-times-in-the-scheduler)). A rep sends it to one prospect after a conversation, so teh booking it produces is much closer to a meeting the rep earned.

You can put either link into an email straight from the composer or embed it on a web page ( [Pipedrive: Meeting scheduler](https://support.pipedrive.com/en/article/scheduler)). Since August 2026, Pipedrive [email templates](https://salesbond.app/blog/pipedrive-shared-email-templates-team/) can also carry merge fields in URLs, so a template can insert the sender’s booking page link on its own ( [Pipedrive product updates, August 2026](https://www.pipedrive.com/en/product-updates)). Convenient. It also means the general link will travel further than you expect, so decide what it saves before you share it.

We treat the two links as two sources of meetings: the general link is inbound, the picked-times link is a rep’s follow-up, and they [should not share an activity type](https://salesbond.app/blog/pipedrive-activity-types/).

## Which Pipedrive plan includes the Meeting scheduler

According to Pipedrive’s help, the Meeting scheduler is available on the Growth plan and above. On Growth you get one active general availability link; higher plans have no limit. The LeadBooster add-on gives full access to the scheduler regardless of plan ( [Pipedrive: Meeting scheduler](https://support.pipedrive.com/en/article/scheduler), last updated September 3, 2026).

One of the three help pages, the one on general availability, says the feature is “only available on Advanced and higher plans” ( [Pipedrive: how can I propose my general availability in the Scheduler](https://support.pipedrive.com/en/article/how-can-i-propose-my-general-availability-in-the-scheduler)). It carries the same update date as the other two. Our reading is that this is an older plan name that wasn’t updated when Pipedrive changed its plan line-up, but that is our reading, not something Pipedrive has said. If you are upgrading because of the scheduler, go by the plan table the main scheduler page points to rather than by any single sentence in the help.

The one-link limit on Growth matters more for data than it sounds. One general availability link means one activity type setting for every inbound booking the whole team receives. On a higher plan you can run several general links, for example one for the demo page and one for support, each saved under its own type, and the report can tell them apart.

## Choosing the activity type a booking lands under

This is the setting the whole article is about, so here is how we would set it, in order.

1. Create an activity type that exists only for bookings. Call it what it is: “Booked meeting” or “Inbound booking”. Name it after where the meeting came from, not after the tool, and make sure no rep ever picks it by hand.
2. On every general availability link, save bookings under that type ( [Pipedrive: how can I propose my general availability in the Scheduler](https://support.pipedrive.com/en/article/how-can-i-propose-my-general-availability-in-the-scheduler) ). On Growth there is only one such link, so this is a one-minute job.
3. For “Pick times” links, decide as a team. We keep them under the type of meeting the rep was actually setting up: a demo goes under Demo, the way our piece on [demo no-shows](https://salesbond.app/blog/demo-no-shows-pipedrive/) sets it up, and anything else under the normal “Meeting” type. The separate booking type stays reserved for the general link. Check the type in the gear-icon settings when you create the link ( [Pipedrive: how can I propose my specific times in the Scheduler](https://support.pipedrive.com/en/article/how-can-i-propose-my-specific-times-in-the-scheduler) ).
4. Look at the booking form. Name and email are always required; the rest is up to you ( [same page](https://support.pipedrive.com/en/article/how-can-i-propose-my-specific-times-in-the-scheduler) ). Add one question that tells the the rep why this person wants to talk. “What would you like to cover?” is enough. That one answer separates a prospect from a recruiter before the meeting, not after.

![Decision strip: signature or website link saves as Booked meeting, rep-picked times save as Meeting](https://salesbond.app/wp-content/uploads/2026/10/pipedrive-meeting-scheduler-booked-meetings-2.png)

If your team also syncs calendars into Pipedrive, [calendar sync has the same one-type problem](https://salesbond.app/blog/pipedrive-calendar-sync-meetings-activities/), and the same fix applies there.

## What a self-booked meeting should and should not count as in reports

A self-booked meeting is a meeting. It is not evidence of prospecting.

That is the rule we would give a manager, and its why the separate activity type pays for itself. When you count meetings per rep per week, count the booking type separately and say so out loud. Pipedrive’s Insights report on activities can be filtered and segmented by “Type of activity”, so a dedicated type turns into its own column without any extra work ( [Pipedrive: Insights reports on activities performance](https://support.pipedrive.com/en/article/insights-reports-activities-performance)). Callum’s booked meetings are real work and he should get credit for showing up to them. They tell you about inbound demand and about how well his signature link turns readers into conversations. They tell you nothing about whether he picked up the phone. If his target is about outbound, a report that blends the two types lets him hit the number without doing the job.

The second question is which deal the booking belongs to. Pipedrive says its scheduling tool links meetings to deals and contacts, and that you can create a meeting invite directly from the detail view of a contact or deal ( [Pipedrive: scheduling tool](https://www.pipedrive.com/en/products/sales/scheduling-tool)). So a link a rep sends from a deal’s card brings the deal with it. A link in a signature or on your website has no deal in its context. When an existing customer whose deal was won three months ago books through it, the rep has a decision to make: either the conversation belongs to a new deal, and the rep opens one before the meeting, or it is a support call and shouldn’t inflate anyone’s pipeline activity. We would rather see a rep spend thirty seconds on that than a manager spend an hour on Friday wondering why the meetings column grew.

If your activity report has been quietly growing for other reasons too, we have written about the same pattern with [emails that count as activities](https://salesbond.app/blog/pipedrive-email-activities-activity-report-inflated/), and about which [activity metrics a small team should actually track](https://salesbond.app/blog/sales-activity-metrics-small-team/).

We build SalesBond, a sales management layer on top of the CRM a team already uses; we started with Pipedrive. Deal Health checks every deal against more than 20 rules, including a category for activity, but it only reads what the data says, so the activity type has to carry the difference between a booking and a rep’s work. If you want to see how your deals look against those rules, [check your CRM with SalesBond](https://salesbond.app/).

## Deleting a booked meeting frees the slot

When a booked activity is deleted, Pipedrive frees the slot so it can be booked again ( [Pipedrive: Meeting scheduler](https://support.pipedrive.com/en/article/scheduler)). That is handy when the booking itself was a mistake, like a test or a duplicate. For a customer who cancelled, keep the activity and record what happened in the [activity outcome field](https://salesbond.app/blog/pipedrive-activity-outcome-field/) instead, or you lose the only record that they booked at all.

## A one-line rule for the team

Every meeting a customer books themselves is saved under its own activity type, and that type is never reported as prospecting. Teams on HubSpot can run [the same booked-meeting check in HubSpot](https://salesbond.app/blog/hubspot-meetings-booked-call-deal-activity-check/).

Create the type before the next link goes out, point the general availability link at it and the Friday report will show two columns where it used to show one. Mei’s September would still have looked good. It would have looked good for the right reason.

## FAQ

### Which Pipedrive plan has the Meeting scheduler?

Growth and higher, according to Pipedrive’s help. Growth gets one general availability link, higher plans get unlimited links, and the LeadBooster add-on gives full access on any plan ( [Pipedrive: Meeting scheduler](https://support.pipedrive.com/en/article/scheduler)).

### Does a booking get linked to a deal?

Pipedrive says scheduler meetings link to deals and contacts, and you can create the invite from a deal’s or contact’s detail view ( [Pipedrive: scheduling tool](https://www.pipedrive.com/en/products/sales/scheduling-tool)). A link from an email signature or a website carries no deal, so the rep decides where that booking belongs.

### Can I report bookings separately from other meetings?

Yes, if they have their own activity type. The Insights activities report can be segmented by type of activity, so bookings show up as a separate group ( [Pipedrive: Insights reports on activities performance](https://support.pipedrive.com/en/article/insights-reports-activities-performance)).
