# Zoho CRM mobile app: what a rep can capture between meetings and what a manager should still see on the deal

The Zoho CRM mobile app lets a rep make calls, update notes and create tasks on a record between meetings, and it works offline and syncs when the phone reconnects. That only helps a manager if each entry sits on the deal rather than only on the contact, and ends with an outcome and a next step. Once a week, review open deals with no activity in the last 7 days and calls that are not related to any deal.

We have written the same routine for [Pipedrive](https://salesbond.app/blog/pipedrive-mobile-app-capture-routine/), [HubSpot](https://salesbond.app/blog/hubspot-mobile-app-rep-capture-manager-check/) and [Salesforce](https://salesbond.app/blog/salesforce-mobile-app-rep-activity-manager-check/). This one is for teams on Zoho CRM, and it only claims what Zoho’s own pages say the app does.

## The phone is where deal notes get lost

Picture a Tuesday. A rep finishes a visit at 3:10, walks to the car and calls the next account from the phone. Two real conversations. At 7 p.m. the laptop opens and the rep types “good meeting, they want a quote” from memory. The budget detail from the first meeting is gone.

Nobody skipped CRM on purpose. The desktop was four hours away from the conversation, and memory doesn’t keep that long. The fix is not a longer form. It’s a routine short enough to finish before the car leaves the parking lot, plus a weekly check for the days it was skipped.

## What the Zoho CRM mobile app covers, and where the help center stops

The native app is free to download from the [App Store](https://apps.apple.com/us/app/zoho-crm-sales-marketing/id444908810) and [Google Play](https://play.google.com/store/apps/details?id=com.zoho.crm); the App Store listing also mentions in-app purchases. It runs on iPhone, iPad and Android phones and opens the modules a rep needs on the road: Leads, Accounts, Contacts, Deals, Cases, Tasks and Events ( [Zoho: installing the CRM mobile app](https://help.zoho.com/portal/en/kb/crm/crm-mobile/install/articles/installing-crm-mobile-app)). From the app a rep can call, email or text a client, and check in at a client’s location. The check-in can notify the manager and be attached to an existing event or a new one.

Offline mode is real. The same help page says you can add, modify or delete records without a connection, and the changes sync once the network is back. Zoho’s product page puts it shorter: “Update info offline and sync later” ( [Zoho CRM: mobile](https://www.zoho.com/crm/mobility.html)).

The product page also says you can “converse with Zia to capture notes, update deals, create tasks, or make calls.” On iOS, Zia is available only on the CRM Plus, Enterprise and Zoho One editions (installing page above). Business card scanning, mobile analytics and route planning are separate apps: Card Scanner, Zoho CRM Analytics and RouteiQ.

That is where Zoho’s pages stop: what the app can do, not what to do with it after a call.

## A two-minute routine after a call or visit

One rule sits above the others: open the deal, not the contact. A note on a contact is true and useless to a pipeline review, because the manager reads deals.

![Four-step card for logging a call on the deal: open the deal, note, task with a date, check-in](https://salesbond.app/wp-content/uploads/2026/10/zoho-crm-mobile-app-rep-capture-manager-check-2.png)

So the rep opens the deal record first. If the conversation was with a lead that has no deal yet, convert it or create the deal before anything else, otherwise everything after lands in the wrong place. Then a note with the outcome in one line. Not “called”, but what changed: “Agreed on a trial in November, needs a security questionnaire from us.” Then a task on the deal for the next step, with a date: “Send security questionnaire, Thursday.” A note without a task is a memory. A task is a commitment the manager can see. If the rep was on site, a check-in on the event timestamps the visit without typing.

No signal in the basement car park? The app saves the changes and syncs later.

What goes into the outcome matters more than the tool. We ask for two things: what the customer decided, and what we owe them next. Everything else can wait for the desktop. For teams that mostly visit rather than call, the longer version with a full visit log is in [logging field sales visits in the CRM](https://salesbond.app/blog/field-sales-visit-logging-crm/).

## Calls and notes that land on no deal

A call logged on a contact is the most common way a phone entry disappears from the manager’s view: the work happened, but the deal shows no activity.

This happens for ordinary reasons. The rep called a person, so the call hangs on that person. On a call record, Zoho’s “Related To” field is where you choose the record type and then the record, and the help page notes it’s available only when you are calling a Contact ( [Zoho: logging calls](https://help.zoho.com/portal/en/kb/crm/sales-force-automation/activities/articles/log-calls)). A call to an unconverted lead has no deal to point at. And a rep with two open deals at one account can pick the wrong one. None of this is laziness and a reminder email fixes none of it.

We treat an unlinked call as a data-entry task, not a reprimand. The manager finds it, the rep moves it, and after a few weeks the habit of opening the deal first takes hold on it’s own.

## The weekly manager check

Once a week, a manager pulls two lists in Zoho CRM: open deals with no activity in 7 days, and calls with no related deal. Twenty minutes on a Friday is usually enough.

For the first list, filter the Deals module to open stages and by “Last Activity Time” older than 7 days. One caveat from Zoho: that timestamp moves on tasks, calls, meetings and emails, and also on any change to the record’s fields ( [Zoho: record the actual time of the last activity](https://www.zoho.com/crm/resources/solutions/record-the-actual-time-of-last-activity.html)). A deal someone merely edited won’t show up, so read the list as a floor, not the whole picture. Every deal on it gets the same question: what happened last, and what is the next step? If the answer is “I called them Tuesday,” the fix is the routine above, not the deal.

For the second list, open the week’s Calls and look at “Related To”. Anything empty, or pointing to an account rather than a deal, goes back to the rep with one question: which deal is this about?

The customer side of the same weekly rhythm is in [account manager responsibilities in Zoho CRM](https://salesbond.app/blog/account-manager-responsibilities-zoho-crm/).

## What to leave for the desktop

Changing the deal stage after a big meeting deserves a quiet minute with the pipeline open, because a stage change moves the forecast and the the rep should see what moves with it. The proposal summary, the amount after a negotiation, a duplicate account to merge: desktop, same evening or next morning. The phone is for the two minutes when memory is still fresh.

A disclosure, since we’re on the manager side of this: we build SalesBond, a sales management layer on top of the CRM a team already uses; we started with Pipedrive. If you’d rather not rebuild those Friday lists by hand, you can [check your CRM with SalesBond](https://salesbond.app/) and see what it finds on your Zoho CRM deals. What we keep seeing, though, is that the lists were never the hard part. The two minutes after the call are.
